The FSP Program Project Specialist will provide business critical support for assigned FSP programs.  They will work closely with FSP Project Leaders (PL), Finance Business Partners and Operational Program Managers to primarily support monthly invoicing, revenue forecasting and reconciliation, resource forecasting data entry and internal metrics/sponsor KPI compilation and reporting throughout the life of the assigned programs.

Key Accountabilities:

Program Initiation Support:

  • May provide support for the creation of reusable tools put into place according to SOPs and work instructions (for example, Project Management Plan, SOP list, TIME task codes list, Team list, Planisware forecasts)

  • Supports setup of Program-specific training in LMS

  • Works with Operational Program Managers to create an initial resource plan in Planisware

Project Execution and Control Management:

  • Responsible for reporting and analysis and for highlighting discrepancies/inconsistencies in data to Operational Program Managers specific to invoicing, revenue forecasting and reconciliation, resource forecasting data entry and internal metrics/sponsor KPI compilation 

  • Maintains the monthly invoicing schedule

  • Revises forecasts based on resource changes communicated by the Operational Program (or line) Managers

  • Prepares portions of the monthly management and dashboard reports

  • Updates and maintains project tracking databases, compiles data for reports, and other project-related materials

  • Organizes incoming and outgoing correspondence from sponsor for program-specific administrative processes

  • May be responsible for managing program document storage

  • Responsible for updating the project plan as needed and collaborating with the PL/TL to execute the plan.

  • May provide technical support to the Project Leader or Operational Program Manager through the use Microsoft Word, Excel, Planisware and internal systems

  • Review and submit requests to update/remove access from staff leaving the FSP partnership

FSP Program Business Support Team contributions:

  • Supports preparation of required material for FSP Program Business Support Team meetings, when assigned

  • Reporting of owned responsibilities during team meetings

  • Support tracking and follow-up of action items, when assigned

  • Promotes communication among team members

Program Financial Management:

  • Responsible for collating monthly program-level financial metrics

  • Reviewing and processing pass through cost invoices, when necessary

  • Interacts with FSP employees (small programs) or FSP line managers (large programs) to collect customized timesheet data and processes invoices for payment

Program Closure Management:

  • Collaborates with Project Leader or Operational Program Manager to ensure Program-specific supporting documents are archived and final invoices are drafted

  • Closes all program-related system accounts and/or interfaces upon project end (revokes access to centralized program-specific accounts as applicable)

Ideal candidate will possess:

  • Initial years of experience in a similar role within life science industry preferred

  • Excellent communication skills

  • Extensive working knowledge of the English language

  • Bachelor’s degree in a science-related field, with an advanced degree desirable

  • PMP or equivalent desirable

  • Proficiency in MS Excel
