Administrative Assistant

• Respond to unqualified leads/unsolicited inquiries received by phone/mail/website
• Interface with clients as directed, i.e., acknowledging receipt of proposals, communicate/establish timeline for proposal preparation, act as conduit for client questions/requests during the proposal preparation period
• Coordinate proposal preparation, production and delivery
• Participate in meetings when necessary and as directed
• Assume responsibility as primary contact during the sales cycle for “C” and/or “B” account opportunities and small and/or low probability opportunities, as determined by Bus Dev VP/Director
• Act as communication link between PAREXEL team and the client to schedule and facilitate sales meetings and teleconferences
• Assemble and customize sales support materials, e.g., therapeutic experience profiles, study-specific text, etc. as required for inclusion in sales letters, proposals or presentations


• Maintain CRM database ensuring accuracy of client listings, routinely update status of study, enter revision requests, client interactions, etc.
• Process and track status of Confidentiality Agreements and Contracts in coordination with Business Operations Dept.
• Process and track paperwork for Proposals
• Maintain department and prospect/client files
• Conduct research as required
• Coordinate logistics for prep meetings and client meetings (travel, conf room, teleconference, webex food, etc)
• Coordinate travel arrangements, process travel authorizations and expense reports
• Maintain daily calendar and other schedules as needed
• Prepare client presentations using Power Point, MS Word and/or Excel

General Support

• Provide clerical support (e.g., typing, copying, faxing, sorting incoming mail, facilitate overnight express deliveries, files, mailings, etc.)
• Respond to voice/electronic mail, prepare correspondence, etc., as requested
• Maintain inventory of supplies (e.g., office supplies, marketing literature, etc.)


Education College degree or equivalent experience in healthcare sales/marketing environment

Work Experience: experience in sales/marketing support
