Specialist, Budgeting and Analysis

Key Accountabilities:

Relationship Management:

  • Work alongside project team to help develop a partnership with all Parexel departments to assist them in their interaction with clients.

  • Support financial direction and project management in partnership with project team.

  • As needed, liaise with suppliers to maintain relationships, and promote best working practices, providing advice as needed.

Project Management:

  • Provide support with quality review, audits, and ongoing maintenance of SOPs, to ensure all financial project-specific requirements are met, providing guidance as needed to internal teams.

  • Work within and promote adherence to guidelines and SOPs.

  • Liaise closely with all stakeholders to discuss issues and resolve conflicts.

  • Proactively seek opportunities to improve project efficiency, results, or team performance.

  • Use knowledge, experience, and expertise to recommend financial improvements in consultation with Manager and project teams.

  • Demonstrate good understanding of organizational strategy and demonstrate the ability to align activities accordingly.

  • Day-to-day financial responsibility for the set-up and project management of assigned projects or components of projects.

Best Practice Oversight:

  • Demonstrate a good understanding of MedCom services and quality delivery requirements.

  • Support with finance-related Best Practice initiatives and assist teams as required.

  • Provide guidance and technical support as needed on finance oversight issues.

  • Collaborate with internal teams to aid adherence to SOPs

Financial Management

Budget Pricing/Development: Participate in budget briefing meetings to

  • Provide guidance to internal teams where budgets are needed for nonstandard items and projects.

  • Review of final budget from a financial and scoping perspective, identifying issues and solutions alongside the opportunity owners.

  • Creation of internal and Client budgets, budget revisions and Changes in Scope that reflect both Parexel and Client needs ensuring accuracy, consistency, and competitiveness (quality control).

  • Facilitate pricing discussions/analysis with appropriate identified key decision makers, including updates to generic and Client specific fixed price budgets.

  • Maintain regular contact with Finance, Contract and Project leads to ensure that all outstanding reports, signatures, and approvals/CISs are captured as required.

Contracting:

  • Working alongside MedCom account leads/Customer Strategy Directors to support the set-up of new Clients and as applicable.

  • Aware of contract financial provisions ensuring self and others adhere to budgeting and procurement terms.

  • Support client teams with quarterly SOW contracting.

  • Support account rebate calculators with FBP and account teams.

NBA/Revenue Analysis and Reporting:

  • Provide report and analysis to aid with hours tracking and associated time code generation.

  • Track and report (bi/monthly) financials including revenue recognition, hours/revenue forecasting, project profitability and new business awards.

  • Provide support with NBA/Rev reporting for quarterly close.

  • Support with maintenance of revenue and new business tracking documents.

  • Support investigation of shortfall/upside for new business and revenue (forecast and actuals); support MedCom principal business partner.

  • Provide support for annual account planning, including provision of financial data.

  • Work with team members to ensure regular and accurate forecasting updates.

  • Undertake xSBU revenue & NBA support.

  • Support project finalization review and closures.

Business Development Support:

  • Work with the Account Manager/Manager/Director/VP to support business opportunities for MedCom within other Parexel business units and direct clients.

  • Supporting with the maintenance of scoping and pricing tools/database and supporting documents to facilitate responses to scoping/pricing requests and work with internal teams to ensure budget coverage is in place.

  • Provide quality deliverables to strict deadlines.

  • Provide overall financial and analytical support for MedCom when required.

Other Tasks:

  • Continuously improves upon skills with all applicable PAREXEL applications (SharePoint, OSB, OPF, PRISM), related reporting tools and Client financial applications.

  • Utilizing departmental/company knowledge and software skills to develop and update departmental templates and able to support Process Improvement Initiatives (e.g. revenue/invoice trackers).

  • Support MedCom teams on financial oversight tasks, and to develop overall departmental professional skills including problem-solving, reporting and system utilization.

General:

  • Maintain a positive, results orientated work environment, building partnerships and modeling teamwork, communicating to the team in an open, balanced, respectful, and objective manner.

  • Provide informed support, when necessary, to any of the other key service lines within MedCom.

  • Ability to work with minimal supervision, demonstrate initiative, and be able to assume responsibility for team members in the absence of the Manager.

  • Ability to relate to key stakeholders in a professional and credible fashion.

  • Excellent personal time management. Strong sense of urgency.

  • Strong analytical and problem-solving skills and ability to remain calm under pressure.

  • Excellent working knowledge of Microsoft office (Word, PowerPoint, Excel, Outlook)– advanced level for Excel and Word, and intermediate for other applications. Experience with project management systems would be desirable.

Knowledge and Experience:

  • Advanced understanding of budgeting/financial processes.

  • Understanding of CRO capabilities relevant to solutions delivery, and good understanding of business context within the pharmaceutical, biotechnology, medical device, or other regulated healthcare industries.

  • A minimum of 3 years’ experience within a similar industry and/or role is required.

Education:

  • Bachelor’s degree, Master's preferred.
