About This Role

The Project Coordinator is responsible for supporting smooth execution of delivery by assisting DS&OE operational leads and the senior admin in conducting tasks and coordinating resources and stakeholder interactions.

Daily Responsibilities:

  • Coordinate tasks among team members to ensure that activities are carried out according to the plan.
  • Support communication between different stakeholders, including team members, management, and external parties. Ensure all parties are informed of project progress, changes, and updates.
  • Maintain comprehensive project documentation, including plans, reports, and meeting minutes as applicable.
  • Support the group's initiatives by identifying opportunities for process improvement and efficiency gains.
  • Provide administrative support as needed, such as scheduling meetings, managing project-related correspondence, and handling any logistical issues that arise.
  • Conduct basic administrative workflows within the department
  • Support calendar maintenance across multiple sub-functions within DS&OE and manage multiple mailboxes on a daily basis
  • Coordinate inter-departmental and cross-functional meetings in support of DS&OE operational leads and Senior Admin Coordinator
  • Arrange internal and external meetings and workshops.
  • Oversee conference room reservations, including scheduling, confirmation, and access.
  • Keep accurate records of room bookings, equipment, and catering needs.
  • Manage documentation on network drive, SharePoint, and Teams' sites.
  • Escalate issues to relevant team members for resolution.
  • Comply with company policies

  • Able to work independently, and exercise sound judgement and decision making

Qualifications:

  • In order to be considered qualified, a minimum of a Bachelor’s degree required with 2+ years' ’ administrative or coordinator experience and managing multiple projects simultaneously.
  • Clinical Development or healthcare exposure preferred, but not required
