Senior Contracts Specialist

About this Role

Provide administrative support to Sponsor Contracts in processing contractual documents, including collation of review and approval documentation and submitting for signatures. Provide support to Line Manager and be the first point of contact for new hires. Handle other assignments as directed.

Key Accountabilities:

  • Provide administrative and clerical support to Sponsor Contracts as directed, may include database support, finalization, distribution and filing of contract documents and correspondence
  • Collate final approvals and provide signatures for all client related contracts across all business units and all legal entities
  • Respond to contracts related queries and discrepancies
  • Support internal and external audits
  • Email and Post Task Management
  • Process and maintain information relating to contract documents in relevant databases
  • Maintain the archive
  • Maintain an up-to-date knowledge of relevant Parexel systems, services, policies and procedures
  • Provide quality deliverable to agreed deadlines
  • Perform on a permanent basis individually assigned tasks within key areas
  • Work both independently and as part of a team
  • Participate in the development and testing of tools and procedures
  • Training / mentoring

Skills:

  • Client and customer service focused approach to work
  • Excellent communication skills (English, both written and verbal)
  • Experience in dealing with confidentiality requirements
  • High discipline with a “deliver on time” attitude
  • Accurate and detail-oriented with an ability to spot errors
  • Great organizational skills
  • Ability to work without supervision in fast-paced environment and deal with high volumes and often complex situations
  • Knowledge of industry and/or technical terms
  • Knowledge of various digital signatures  systems
  • Advanced level of proficiency in Microsoft Office, Microsoft Excel and databases
  • Knowledge of an additional language is an asset.
  • Proactive attitude
  • Ability to take ownership of assigned duties
  • Confident dealing with internal staff

Knowledge and Experience:

  • 4 years’ administration experience required preferably in contracts or similar document administration role

Education:

  • Undergraduate Degree (Law, Commerce, Business or Science advantageous).
  • Relevant qualification or equivalent experience is preferable
